How to Choose the Right Live-In Care Provider in the UK (Checklist for Families)

Choosing a live-in care provider for a loved one is one of the most important decisions a family will ever make. It is not something to rush, and it certainly is not something where you want to get it wrong. The right provider will make an enormous difference to your loved one’s quality of life, their safety, and your own peace of mind.

We have put together a practical, honest checklist that covers the things that really matter, so that you can make a confident, informed decision.
Whether you are exploring live-in care for the first time or switching from a provider that has not worked out, this checklist will help you find the right fit.

Why Live-In Care Is Worth Getting Right

Live-in care is not like hiring a cleaner or a gardener. A live-in carer moves into your loved one’s home and becomes a central part of their daily life. That relationship, built on trust, familiarity and genuine care, is what makes the difference between a person who is simply looked after and a person who is truly living well.

The UK live-in care market has grown significantly in recent years, and with that growth has come a wide variation in quality. Some providers are outstanding. Others cut corners on training, recruitment or supervision. Knowing what to look for means you will not have to learn the hard way which category a provider falls into.

1. Check That the Provider Is CQC Registered

The Care Quality Commission (CQC) is the independent regulator of health and social care in England. Any provider delivering personal care in the home must be registered with the CQC. This is not optional. If a provider is not CQC registered, do not use them.

Registration alone is not enough, though. You should also look at the provider’s most recent inspection report, which is publicly available on the CQC website. The inspection will rate the service across five key areas: Safe, Effective, Caring, Responsive and Well-led. Look for ratings of Good or Outstanding in each area. Be cautious about providers rated Requires Improvement or inadequate in any category.

2. Ask About Their Recruitment and Vetting Process

Your loved one will be sharing their home with a carer. It is entirely reasonable to want to know exactly who that person is and how they have been checked. A reputable live-in care provider will have robust, consistent recruitment processes and will be happy to explain them to you.

Questions worth asking include:

  • Do carers have an enhanced DBS (Disclosure and Barring Service) check?
  • Are employment references verified, and how many are required?
  • Is the right to work in the UK confirmed before employment?
  • Do carers complete a probationary period before being placed with clients?
  • How does the provider monitor and review carer performance on an ongoing basis?

A provider who cannot answer these questions clearly, or who seems reluctant to discuss their vetting process, is a red flag.

3. Understand the Training and Qualifications Required

Good care depends on good training. This is especially true for live-in care, where a carer may be supporting someone with complex needs, including dementia, Parkinson’s disease, physical disabilities or recovering from a stroke or brain injury.

Ask the provider what training all carers must complete before being placed in a live-in role. Look for providers who go beyond the minimum and who invest in ongoing professional development for their teams. This is a sign of a provider who takes quality seriously.

Some things to check include:

  • Mandatory induction training covering moving and handling, medication, infection control and safeguarding
  • Specialist training in dementia care, end-of-life care and other conditions relevant to your loved one’s needs
  • Regular refresher training and updated skills development
  • Evidence of a learning culture, where carers are supported to grow professionally

4. Find Out How They Match Carers to Clients

The relationship between a live-in carer and the person they support is unlike any other professional relationship. Compatibility matters enormously. A good provider will take the time to understand your loved one’s personality, interests, communication style, and daily routines, and will use that information to make a thoughtful match.

Ask how the matching process works and whether you or your loved one has any input. Will there be a chance to meet the carer before they move in? What happens if the match does not work out?

A provider who takes matching seriously will have clear answers to all of these questions.

Be wary of providers who seem to assign whoever is available without any real thought given to compatibility.

5. Ask How They Create and Manage Care Plans

A live-in care plan should be built around the individual, not around what is easiest for the provider. It should reflect your loved one’s specific needs, preferences, routines and personal goals, and it should be reviewed regularly as those things change over time.

Questions to ask about care planning include:

  • Who carries out the initial needs assessment, and how thorough is it?
  • Is the care plan designed in collaboration with the person receiving care and their family?
  • How often is the care plan reviewed, and what triggers a review?
  • Can the care plan be adapted quickly if health needs change?
  • Can families access care notes and records, and if so, how?

6. Understand What Continuity of Care Looks Like

One of the greatest benefits of live-in care is continuity. Your loved one gets to know their carer, builds a relationship with them, and benefits from consistent, familiar support. But what happens when that carer is unavailable due to holidays, illness or personal circumstances?

Ask the provider how they handle carer absences and what their process is for providing cover. A reputable provider will have contingency plans in place and will be able to reassure you that your loved one will never be left without support.

It is also worth asking how long carers typically stay with clients, and what the turnover rate looks like. High turnover is often a sign of a provider with poor staff culture or inadequate support for their team.

7. Get a Clear Picture of Costs

Live-in care costs in the UK vary depending on the level of care required, the region and the provider. It is important to get a detailed breakdown of exactly what is included in the quoted fee and what might be charged additionally.

Some questions to ask about costs and funding:

  • What is included in the weekly or daily rate?
  • Are there any additional charges for specialist care, double-up visits or out-of-hours support?
  • Do you work with clients funded by Local Authorities or Continuing Healthcare (CHC)?
  • Can you support clients who use Direct Payments to manage their own funding?
  • Is the pricing transparent, and will any changes to fees be communicated in advance?

Remember that live-in care is often comparable in cost to a residential care home, particularly when you factor in the level of one-to-one attention provided. For couples where one partner needs support, live-in care can also be significantly more cost-effective than two care home placements.

8. Find Out What Happens in an Emergency

Care at home needs to be safe. Ask the provider what procedures are in place for emergencies, including medical emergencies, falls, or situations where a carer is suddenly unable to continue. A well-run provider will have clear protocols and will be able to explain them confidently.

It is also worth asking whether carers are trained in first aid, how they liaise with GPs and community nurses, and how the provider stays connected with the wider healthcare team.

9. Look at Reviews and Reputation

Independent reviews from other families who have used the provider are invaluable. Look beyond the testimonials on the provider’s own website and check external review platforms where feedback is independently verified. Look for patterns in what people say, both positive and critical.

You might also ask the provider whether they can connect you with existing clients or families who would be happy to share their experience. A confident provider who delivers good care will not hesitate to facilitate these conversations.

10. Trust Your Instincts When You Speak With Them

A good care provider will make you feel heard and reassured from the very first conversation. They will ask thoughtful questions about your loved one, they will listen carefully to your concerns, and they will give you honest answers rather than simply telling you what you want to hear.

If a provider is pushy, dismissive of your questions, or seems more focused on closing a sale than understanding your situation, that tells you something important. The right provider will take the time to make sure you are confident before any decisions are made.
